Remote Executive Assistant
Job Summary
We are seeking a highly organized, proactive, and detail-oriented Remote Executive Assistant to provide comprehensive administrative and operational support to senior executives. The ideal candidate is a self-starter who thrives in a fast-paced virtual environment, possesses exceptional communication and organizational skills, and can effectively manage multiple priorities while maintaining strict confidentiality.
As a Remote Executive Assistant, you will play a critical role in ensuring executives operate efficiently by managing schedules, coordinating meetings, handling correspondence, organizing travel, and supporting special projects.
Key Responsibilities
- Manage complex executive calendars, appointments, and scheduling across multiple time zones.
- Coordinate virtual and in-person meetings, including preparing agendas, presentations, and meeting materials.
- Screen, prioritize, and respond to emails, phone calls, and other communications on behalf of executives.
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Prepare reports, presentations, spreadsheets, and business correspondence.
- Maintain confidential files, records, and sensitive company information.
- Organize digital documents and ensure efficient filing systems.
- Track deadlines, follow up on action items, and monitor project progress.
- Assist with budgeting, expense reports, and invoice processing.
- Coordinate with internal departments, clients, vendors, and external stakeholders.
- Conduct online research and compile information for executive decision-making.
- Support event planning, webinars, conferences, and company meetings.
- Recommend process improvements that increase efficiency and productivity.
- Perform other administrative and operational duties as assigned.
Required Qualifications
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- 3–5 years of experience as an Executive Assistant, Administrative Assistant, or similar role.
- Experience supporting senior executives or leadership teams.
- Excellent written and verbal communication skills.
- Strong organizational, multitasking, and time-management abilities.
- Ability to work independently with minimal supervision.
- High level of professionalism, discretion, and confidentiality.
- Strong problem-solving and critical-thinking skills.
- Reliable high-speed internet connection and a dedicated remote workspace.
Preferred Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar, Gmail).
- Experience with Zoom, Microsoft Teams, Slack, and Google Meet.
- Familiarity with project management tools such as Asana, Trello, Monday.com, or ClickUp.
- Experience using CRM platforms such as Salesforce or HubSpot.
- Strong data entry and document management skills.
- Basic bookkeeping or expense management experience is a plus.
